Internal Communications

COEfyi

This newsletter features news for faculty and staff, as well as items of interest related to their professional interests and achievements, all of which pertain to the College. COEfyi is sent via email at 10 a.m. every Wednesday and Friday; submissions are due by noon on Tuesdays and Thursdays. Please keep these deadlines in mind when you are submitting time-sensitive requests.

Posts from the dean, associate deans, and important UGA-wide announcements may run twice a week. Other event-related reminders (such as grant deadlines, speakers, conferences, and events) may be sent no more than once a week for a maximum of three weeks in a row. All posts will be archived on the COEfyi webpage.

COEfyi provides a reliable and timely way to announce and receive information about College news and events. We will post information about UGA events if the event includes a College faculty/staff member or department/unit, or provides relevance to a broad College audience. Please refer to UGA Columns or the UGA Master Calendar for information about University events.

Event-related reminders (conferences, grant deadlines, speakers, etc.) may run no more than once a week for a maximum of three weeks. Other types of posts may repeat at the discretion of the Marketing and Communications Office.

Posts cannot contain matters that are not official College or UGA business, political statements, endorsements, or fundraising; personal items for sale/purchase/rent; or ads or promotions for outside organizations. Content may be edited by a marketing and communications team member for clarity and brevity.

Each COEfyi may include (but is not limited to):

  1. College-wide announcements
    • Updates from the dean
    • Closures or specific announcements that affect everyone
    • Workshops or training open to all employees taking place at the College
    • HR-related issues and announcements
    • Information for faculty and staff
  2. Department-specific news
    • This includes posts that might pertain to members of one department, or posts of interest that a larger audience might want to know (example: department events).
    • For event posts, please specify how the event is connected to the College (example: department is sponsoring or hosting an event; faculty is an event speaker).
    • Depending on the number of submissions, event posts may be included in one COEfyi entry that links to the UGA Master Calendar; this page would have more details about the program or announcement, also tagging specific departments.
    • An event series or list with multiple dates will run a maximum of three times.
  3. Kudos (this item only runs on Wednesdays)
    • Kudos posts list award winners, grant recipients, or special recognition from UGA or professional associations (award/grant finalists are not included).
  4. Media mentions (this item only runs on Fridays)
    • Media mentions include stories or other external mentions of faculty, students, and staff for professional achievements that pertain to their role in the College.
    • Media mentions covering the same story may run no more than three times.

We developed these guidelines to provide consistency and standards for COEfyi announcements. The style for COEfyi announcements will always default to AP style.

Note: We do not share flyers, graphics, or photos. For security reasons, please refrain from including Zoom meeting links in submissions. Instead, include links to forms or registration pages when possible.

COEfyi Course Spotlight

This weekly email is provided as a service to our faculty who wish to publicize courses to graduate students. COEfyi Course Spotlight is sent to all faculty, advisors, and graduate students in the College at 11 a.m. on Fridays when new submissions are made. Submissions are due by 3 p.m. on Thursdays.

MFECOE Connection

Delivered every Monday, MFECOE Connection is a weekly e-newsletter for students featuring activities, programs, and announcements. Both undergraduate and graduate students are automatically subscribed to the newsletter.

Frequency of publication

The MFECOE Connection is published every Monday by noon during Fall and Spring semesters. MFECOE Connection is not published during the Summer term.

Frequency of entries

Each item will run for two newsletters which is equivalent to two weeks. Exceptions to this rule: Submissions with specific dates that occur within the current month. Submissions with dates that occur during subsequent months will be held until the beginning of that respective month.

Headings and content

  • Events: Date-specific events in the College and around campus that would be related or of interest to students
  • UGA updates: UGA campus updates and important information found in Arch News to which we want to draw specific attention to our students
  • Important College information: A general category for miscellaneous submissions not related to academics
  • Academic information: A general category for miscellaneous submissions related to academics including any submission related to studying abroad
  • Student opportunities: Information about volunteering across campus, campus-wide job postings, and external job postings
  • College resources: Information from UGA Student Resources and the UGA Career Center

Order of entries

Events are listed in chronological order based on date. Non-event submissions will be listed in order from newest to oldest.

Significant events

Preliminary information will be listed once, removed, and held until closer to the date of occurrence. Certain events, such as Convocation, may be listed for longer periods to ensure students have time to submit the required materials to participate in the event.

Pictures, flyers, and maps

To keep the newsletter more streamlined and maintain an overall clean look, no pictures, flyers or maps will be included with any event or announcement.

Reoccurring submissions

Submissions such as the COE School Supply Closet, will be posted 2-3 times per semester at the beginning, during midterms, and near finals depending on the specific content and when it is appropriate to list.

Mailing lists

Both undergraduate and graduate mailing lists are updated at the beginning of each semester. Faculty and staff mailing lists are updated annually.

How to submit events and announcements

Events and announcements can only be submitted through the form. If any Connection-related emails are received outside of the form, the submitter will be directed to the form link. Only submissions related to College students will be included in the MFECOE Connection.
