Promotional Items

If you need to create a promotional item, please review our guidelines below for promotional items to ensure maximum workflow efficiency.

Promotional items include:

  • Pens
  • Blankets
  • T-shirts
  • Drinkware
  • Banners
  • Bags
  • More

If you are working with an external vendor to create your collateral, please submit a communications project form to receive approval by selecting “Promotional items.” After items are approved by our office, we will send an approval form to UGA Trademarks. You will need to send the signed approval form to your business office manager for funds to be released.

All external marketing pieces must be approved by the communications team. Approvals typically take 1-2 business days.

Prior to submitting your items for approval, please make sure you adhere to the following guidelines:

  1. All merchandise that is larger than 2 inches (such as T-shirts, hats, pens, sunglasses, etc.) must include an approved UGA logo.
  2. Graphics used on promotional items (i.e. promotional graphics) cannot include the institution’s name or the full name of the requesting unit. Including these names creates a “modified logo,” which is prohibited. The full name of the organization can appear by itself if it’s plainly written out as text and not used within a graphic.
  3. When using multiple UGA logos (such as athletic marks or official brand illustrations), academic units must lead with their official logo, placing other logos in a secondary position.
  4. Be sure to use a UGA-approved vendor! You must use a UGA-approved vendor to purchase/produce any type of promotional item (this ensures the vendor complies with trademark licensing and other regulations).

The approval process is intended for finished pieces that have not been created by the communications team. This would include mock-ups of three-dimensional promotional items and print-ready collateral that have been created by UGA licensed vendors.

Please bear in mind that any item that is not approved will have to be recreated by the communications team and will need a corresponding project ticket.

Certain items require additional approval from UGA Trademarks. The following items do not need UGA Trademarks approval:

  • Catalogs
  • Magazines
  • Annual reports
  • Newsletters
  • Brochures
  • Posters
  • Folders
  • Invitations
  • Cards
  • Event signage
  • Banners
  • Table tents
  • Tablecloths
